Independent WMS consulting and implementation support

At 4Supplychain, we provide independent advice on Warehouse Management Systems (WMS) and related solutions. With deep knowledge of the market, we guide you through the selection process and offer expert support to ensure a smooth and successful implementation.

A WMS is often the central hub of your warehouse operations, driving efficiency across the entire supply chain process. Selecting the right system requires careful attention and expertise to ensure your warehouse workflows are managed as effectively as possible.

In most cases, your WMS will need to be integrated with third-party systems such as your customer’s ERP or the WCS of your automation partner. We not only assist with the WMS selection process but also support system configuration in collaboration with the chosen vendor. This ensures that your WMS is fully optimized for your warehouse layout, volumes, and processes.

Below, we outline our structured approach to helping clients select and implement the right WMS solution.

Long List / RFI

We know the WMS market thoroughly and based on this knowledge, we compile a long list of potential vendors. We assess their suitability against the predefined requirements and the supplier’s portfolio. After alignment with the client, we send out a Request for Information (RFI) to gauge which vendors are interested in participating in the tender. This ensures that only relevant and qualified suppliers are involved, making the selection process efficient and focused.

Mid List / RFQ

After analyzing the RFIs, we jointly decide with the client which suppliers make it onto the mid list. Our advice is to limit this to 2 to 4 vendors in order to keep the process manageable while maintaining selection quality.

The selected vendors, after signing an NDA, receive a complete Request for Quote (RFQ) package, consisting of:

  • An overview of the portfolio and processes

  • The RFQ document to provide pricing details

  • A requirements matrix where vendors confirm compliance or propose solutions

  • Draft contract and Service Level Agreement (SLA)

This structured and transparent approach ensures an efficient process and provides a solid basis for evaluating potential vendors.

Short List
An analysis is conducted based on the RFQ submissions. We compare budget and feasibility of the requirements. Based on this, we work with the client to decide which partners will be invited for a face-to-face meeting, leading to the final selection.

Selection and contract

Selecting the right supplier can be challenging, especially when offerings and capabilities are closely matched. Defining clear requirements is therefore essential: what does your organization really need? This forms the foundation for a well-substantiated decision. The client makes the final choice, while we provide guidance and support throughout the process.

We then proceed to the contract phase and align on the SLA. To streamline this, we use our own contract and SLA templates, which are shared during the RFQ stage to avoid unnecessary discussions. If needed, we can involve legal experts to ensure everything is completed carefully and professionally.

Finally, the implementation phase begins, where 4Supplychain provides expertise and project management to ensure success.
